From upload to studying in three steps

KognitiMind works in three steps. You upload your study material as a PDF, PPTX, DOCX or image, the system extracts the text, and then you ask for a summary, flashcards and quizzes, chat about the document and review the cards on a schedule. Everything is made from your own material, in your account language.

1. Upload your study material

After signing up, go to the Documents page, pick a file, give it a title and upload it. These formats are accepted:

  • PDF, such as a textbook chapter, lecture notes or printed slides.
  • PowerPoint (PPTX): it reads the slide text, tables, speaker notes and inserted pictures, but not charts or SmartArt built in PowerPoint.
  • Word (DOCX), such as your own notes or worked exam topics.
  • Images (PNG, JPEG, WebP, HEIC), such as a photo of handwritten notes. Images can only be uploaded on a paid plan.

Old .ppt and .doc files are not accepted: open them and save them as PPTX or DOCX. The file size limit is 10 MB on Free, 25 MB on Student Pro and 50 MB on Student Pro Max, and you can store 5, 50 or 200 documents respectively. The pricing page has the details.

2. The system processes it

Processing runs in the background after upload, so you do not have to wait on the page. The system extracts the text page by page, slide by slide or section by section, and prepares the document for search. You can open the uploaded file in the meantime; the AI tools become available once processing has finished.

On the paid plans it also reads images and scanned PDF pages that have no selectable text: the AI transcribes the text on them and describes what they show. This uses no AI credits. Student Pro processes up to 30 distinct images per document and Student Pro Max up to 100; any beyond that are skipped. The scanned and handwritten notes page explains more.

If processing fails, the document card and the document page show why:

  • No extractable text: the document holds no text or images to learn from.
  • The file is damaged or unreadable: save the file again and re-upload it.
  • Needs image processing (Pro): the content is in images, such as photos or scanned pages, and only Student Pro and Student Pro Max process them.
  • AI is temporarily unavailable: the document's text would come from its images, but today's AI processing budget is used up. Delete it and upload it again the next day.

3. Study with it

Once the document is ready, its page offers these tools:

  • Summary, on the AI Actions tab: a short, structured overview of the document, saved with it. See PDF summarizer.
  • Concept explanation: type a term and the AI explains it based on your notes.
  • Flashcards, on the Flashcards tab: each generation gives ten cards on key concepts and definitions, and you can star the hard ones. See flashcard generator.
  • Quizzes, on the Quizzes tab: multiple-choice questions, one to twenty of them, with four options each and your score and the correct answers at the end. See quiz generator.
  • Chat: ask about the document, and the answer is built from its most relevant passages, with source references. See chat with documents.
  • Scheduled review: cards come back when they are due, and the dashboard shows how many are waiting today. See spaced repetition.

On every plan, flashcard sets can be downloaded as an Anki package (.apkg) or as CSV. The summary, flashcards, quizzes and chat use AI credits, up to your plan's monthly and daily allowance.

What language is the content in?

There is one language setting, on the Profile page. It sets the language of the app and whether the AI writes in English or Hungarian. It does not depend on the document's language, so you can upload Hungarian lecture slides and get an English summary, or the other way round.

What to watch out for

The AI can make mistakes: it can misread a relationship or leave out something that matters. For long documents, the summary, flashcards and quizzes are made from passages taken from the beginning to the end of the document, and the chat sees only the few most relevant passages for each question. Check what you learn against the original material.

Frequently asked questions

What can I upload?

PDF, PowerPoint (PPTX) and Word (DOCX) files on every plan, and images (PNG, JPEG, WebP, HEIC) on the paid plans. The file size limit depends on your plan, 10, 25 or 50 MB. Old .ppt and .doc files are not accepted, so save them as PPTX or DOCX first.

What happens after upload?

The system extracts the text in the background, page by page, slide by slide or section by section, and on a paid plan it also transcribes images and scanned pages. You can open the uploaded file in the meantime. Once processing is done, the AI tools are available; if it fails, the document shows why.

How long does processing take?

It depends on the length of the file and how many images it holds. A short text document is done quickly; a file with many images or scanned pages takes longer, because every image is read separately.

Where does my data go?

No other user can see your documents. Operators see only their titles and status, never the content. For the AI features, the relevant parts of the text, your questions and the chat history are sent to the Google Gemini API, and on a paid plan the images too, for transcription. Deleting a document also deletes the file and the flashcards, quizzes and chats made from it.

Where does it fall short?

It does not replace reading the material, and it only knows what you uploaded; it does not add anything from the web. The AI can make mistakes, so check what you learn against the source. For long documents, the summary, flashcards and quizzes are made from passages taken across the whole document, not from the full text.
